Position: Project Manager

Scope of Job:

Under the direction of the Senior Project Manager (Sr PM) to assure effective project management for assigned localization projects to produce high quality localized computer software and documentation from usually English into the required languages.

Relationships:

• The PM directly reports to the Senior PM.
•  Functional liaison with other PMs and departments.
• Build and maintain strong relationships with major clients

Responsibilities:

Ensure the successful management and completion of localization projects through professional project management within budget and timeline, and within iSP quality standards.

Finance:

• Create, monitor, and update project quotes.
• Ensure client’s approval of the initial quotes and changes.
• Issue purchase orders and check invoices for freelancers.
•  Provide financial analysis of projects to management.
• Deliver projects within agreed budget (within iSP quality standards and processes).
• Maintain all project related (financial) administration.

Communication:

• Client communication – main point of contact for client communication; maintain smooth communication with clients on all project related matters; conduct kick-off meetings, conference calls, post mortem meetings as necessary; keep client updated about the status and progress of their projects.

• Production staff – liaise between client and production staff; provide production staff with all the information necessary for successful completion of the project. This includes internal as well as external staff in the form of freelancers, sub-contractors and partners.
• PM department – communicate with other PMs and Dir Ops about issues that will affect other projects.
• Director of Operations - Keep Dir Ops informed on the status of a project, general and specific issues on an ongoing basis and in weekly meetings; communicate any impediments to a project in a timely manner to the Sr PM, and ensure managerial support when needed.
• iSP management – Report to management about status of projects during weekly project status meetings, provide information and reports upon request.
• Liaise with freelancers, other vendors, and partners of iSP on non-project related issues if needed.

Project Execution:

• Secure and assign resources (internal and external) to projects in co-ordination with other PMs in cooperation with Language Coordinators.
• Manage allocated teams in terms of project related matters.
• File handling – receive, distribute and deliver files (between internal and external resources and clients).
• Monitor and ensure timely completion of tasks.
• Support production staff in other departments when needed; trouble-shoot.
• Ensure delivery by agreed deadlines.

Scheduling:

• Negotiate schedules and deadlines with clients, and secure their approval for changes.
• Create and maintain project schedules using standard tools employed by iSP (MS Project).
• Monitor schedules to ensure timely delivery by agreed deadlines.
• Provide input to overall scheduling issues regarding resources.
• In cooperation with other PMs and Team managers prepare and oversee overall workload and project allocation throughout the year.

Administration:

• File project information and records.
• Maintain and update all project related administration.
• Provide Sr PM and Management with full visibility on project status and potential risks, on request.
• Ensure that project backups are created and data volume on the server is kept at a minimum. Team membership
• Co-ordinate PM efforts with other project managers and support them when needed.
• Cover for other PMs during vacation and sick days.
• Comply with company procedures and working practices.
• Contribute to the improvement of PM practices in the department.
• Every 3 months, review last performance goals and objectives results with Sr. PM and set medium/long-term expectations.
